Students can review their academic records at any time. Student records may not be released to a third party without prior written consent from the student.

Transcripts: Official and Unofficial

Following are the types of student records kept by NOCE. Transcripts may be requested year-round by filling out a Transcript/Records Request Form.

  • What is an Official Transcript?

    An official transcript is considered a certified document of a student’s academic history and is the type of record most often requested by employers, military, educational institutions, etc.

    • Official transcripts may contain the classes in which a student has enrolled, his/her grade, hours of attendance, certificate completions, etc. with an official stamp/seal by the institution.
    • Transcripts may be requested year-round by filling out a Transcript/Records Request Form. Students should mail the form request to the Records Office at the NOCE Wilshire Center, 315 E. Wilshire Avenue, Building 300, Fullerton, CA 92832.
    • The Transcript/Records Request Form can also be faxed to 714.992.9599.
    • If you owe a fee, the transcript will not be processed until the fee is collected.
    • Students are entitled to two (2) free records without charge, but thereafter will owe $5 per official transcript copy.
    • If the request is a rush (requiring processing within two (2) business days), an additional $10 fee is owed.

  • How Can I Submit a Request for an Official Transcript?

    When submitting your Transcript Request Form, please note the following:

    • Normal transcript processing time is:
      • 10 business days for transcripts with attendance for years 2001-present.
      • 15 business days for transcripts with attendance for year prior to 2001.
    • Transcripts will be withheld for any outstanding fees owed to NOCE, Cypress College, or Fullerton College.
    • In accordance with the Family Educational Rights and Privacy Act (FERPA), records may not be released to a third party without the prior written authorization of the student.
    • Requests submitted prior to the end of the term will be delayed until approximately six weeks after the last day of the term to allow faculty to post grades. Transcripts can still be sent, as long as the student is aware that they may not contain their grades for the most recent term.
    • Transcripts sent from NOCE or hand-carried to another school are considered official until the envelope seal is broken or opened.

    Currently, we are not able to accept e-mail or online requests for transcripts.

  • Special Instructions for High School Diploma Program Official Transcripts
    • NOCE will process High School Diploma Program transcript requests for students who wish to transfer to another adult high school.
    • Previously earned high school credits that have been applied to the requirements of the NOCE High School Diploma Program will appear on the student’s transcript.
    • Transcripts from the previously attended school should be requested from that institution.
  • What is the Fee for an Official Transcript?
    • A student is allowed two (2) copies free of charge.
    • For each additional request, a $5 fee will be charged per copy.
    • Rush requests for transcripts are available for an additional fee of $10 per order, plus the fee for transcript (if applicable).
    • Payment must be received in full before we process your request. If you are unsure if you owe a fee, call at 714.992.9500 to ask for clarification.
  • Unofficial Transcripts
    • Students may view and/or download an unofficial transcript through the NOCCCD myGateway student portal. Transcripts are available to students who attended NOCE from the Fall 1989 term or more recently.
    • Transcripts prior to Fall 1989 can only be obtained by requesting an official transcript.

    Obtain a free, unofficial transcript through myGateway in six simple steps!

    Step 1: Visit myGateway and log in using your Banner ID and PIN.
    Step 2: Click on the “Webstar” button located on the top right-hand side of the page.
    Step 3: Click on “Student Records”.
    Step 4: Click on “View Unofficial Web Transcript”.
    Step 5: Select “School of Continuing Education” as the transcript level and “Web Transcript (Unofficial)” as the transcript type.
    Step 6: Click “Submit”. This will bring up the unofficial web transcript that can be printed by clicking on the link “Click here to print this page”, located above the course history.

Enrollment/Attendance Verification

Your NOCE enrollment can be verified through a request by filling out an Enrollment/Attendance Verification Form.

  • What is a Verification of Enrollment/Attendance?
    • A verification of enrollment is a document that is most often provided to government agencies, insurance companies, etc. to document current enrollment.
    • Your NOCE enrollment can be verified through a request by filling out an Enrollment/Attendance Verification Form.
    • Students should mail the form request to the Records Office at the NOCE Wilshire Center, 315 E. Wilshire Avenue, Building 300, Fullerton, CA 92832.
    • The Enrollment/Attendance Verification Form can also be faxed to 714.992.9599.

  • How do I Submit a Request for a Verification of Enrollment/Attendance?
    • Normal processing time for an Enrollment/Attendance Verification Form
    • is 10 business days. 
    • Unfortunately, rush requests are not currently available for enrollment verification letters.
    • Requests will not be processed until completion of the third (3rd) week of the current term.
    • Enrollment verification letters may include any or all the following information:
      • Program of study
      • First date of attendance at NOCE
      • Total number of attendance hours to date
      • Detailed number of hours attended for the previous and current term, etc.
    • In accordance with FERPA, records may not be released to a third party without the prior written authorization of the student.
    • Should the student wish to pick up the verification from the NOCE Records Office, the student must present a valid photo ID to retrieve the verification letter.

  • What is the Fee for a Verifications of Enrollment/Attendance?
    • A student is allowed two (2) copies of the enrollment verification letter free of charge.
    • For each additional request, a $5 fee will be charged per copy.

NOCE Career Technical Education (CTE) Program Certificate Request

For students requesting their first program certificate copy, locate your program listed below and follow the outlined instructions. Students can request duplicate copies of their program completion certificate by submitting a Transcript/Records Request Form and marking the box that says, “Duplicate Program Certificate”. There is a fee of $5.00 per duplicate request.

Using a Chosen Name

Students now have the option to update their gender identity and chosen name. This information may be used on unofficial records and documents maintained by the District. Official documents will require a legal name and gender change. Please refer to Student Information Change Form for complete submission details, form, and places where this information is to appear.

  • Important Facts to Know
    • Using a person’s preferred/chosen name and pronouns is essential to inclusion and is expected of all NOCE employees as well as across the District. There are many reasons why students might want to use a preferred/chosen name. Some students have used a different name than the one assigned at birth for many years, and find the use of their legal name uncomfortable and out of place. Others may have adopted a new name more recently. Some examples include the following:
      • A student may want to use a name that reflects their gender identity.
      • Some students may find that faculty, staff, and other students have trouble pronouncing their birth names and may want to adopt a name that is easier for others to use.
      • Some students have gone by their middle names instead of their first names.
      • A student may find a nickname to suit them better – for example, “Jack” instead of “Jacob,” or “Rae” instead of “Rachel.”

    • Be aware that a student may have a first name that is chosen. For verification purposes, the last name will remain the same.
    • Chosen names selected are subject to revocation if deemed inappropriate by the Administration of NOCE.
    • If you are aware that a student uses a preferred/chosen name, you are required to address the student by that name. It is a professional expectation that NOCE employees will address students in a manner that is welcoming to them. Using a student’s preferred/chosen name embraces respect and inclusion.
    • Obtaining a legal name change can take time, and can also be expensive. There also may be legal or personal reasons why someone cannot change their name legally, or why they do not wish to do so. For international students, obtaining a legal name change may not be possible or even preferable. It is important to understand that many transgender students may be “out” at school, but may not feel that they can disclose to their families that they are transgender. Finally, a student who goes by a middle name or nickname may have personal reasons, such as family tradition, for wanting to keep their name legally while being known by their middle name or nickname.
    • A student’s ID number will appear on their accounts and can be used to verify identity.
